Our Commitment to Your Privacy

The Australian Ultra and Trail Runners Association (AUTRA) is committed to respecting and protecting your privacy. All personal information collected, stored, used, or disclosed by AUTRA is handled in accordance with the Privacy Act 1988 (Cth), Associations Incorporation Reform Act 2012 (Vic), the Sport Integrity Australia National Integrity Framework, the Sport Australia Member Protection Framework, and our Rules of Association. We are dedicated to ensuring our data practices foster trust, transparency, and respect throughout all our activities.

What Information We Collect

AUTRA collects personal information only when it is reasonably necessary for our operations—including membership, event administration, communication, safeguarding integrity, and meeting our legal obligations. Sensitive information (such as health or background checks) is only collected with explicit consent or where required by law.

How We Use and Share Your Information

Personal information is used solely for the purpose for which it was collected, or another related purpose you would reasonably expect or as required by law. This may include sharing with selected integrity bodies (such as Sport Integrity Australia), law enforcement, or regulatory authorities, if required. AUTRA never sells, rents, or trades personal or sensitive information with third parties for marketing purposes.

    Data Security and Storage

    We take reasonable steps to protect your information from misuse, loss, or unauthorised access. All records are securely stored, with access restricted to authorised personnel only. Contact information may be used to communicate event updates, notice of policy amendments, or other matters required by our Rules of Association and law.

      Your Rights: Access, Correction, and Deletion

      You may request access to the personal information we hold about you at any time, or request corrections if the information is inaccurate, out-of-date, or incomplete. Personal information is only retained as long as necessary to fulfill its purpose or as required by law. Information that is no longer required is securely destroyed or de-identified.

      Cookies

      We and our trusted partners use cookies and other technologies in our related services, including when you visit our Site or access our services. 

      A "cookie" is a small piece of information that a website assign to your device while you are viewing a website. Cookies are very helpful and can be used for various different purposes. These purposes include allowing you to navigate between pages efficiently, enable automatic activation of certain features, remembering your preferences and making the interaction between you and our Services quicker and easier. Cookies are also used to help ensure that the advertisements you see are relevant to you and your interests and to compile statistical data on your use of our Services. 

      The Site uses the following types of cookies:

      a. 'session cookies' which are stored only temporarily during a browsing session in order to allow normal use of the system and are deleted from your device when the browser is closed; 

      b. 'persistent cookies ' which are read only by the Site, saved on your computer for a fixed period and are not deleted when the browser is closed. Such cookies are used where we need to know who you are for repeat visits, for example to allow us to store your preferences for the next sign-in; 

      c. 'third party cookies' which are set by other online services who run content on the page you are viewing, for example by third party analytics companies who monitor and analyze our web access.

      Cookies do not contain any information that personally identifies you, but Personal Information that we store about you may be linked, by us, to the information stored in and obtained from cookies. You may remove the cookies by following the instructions of your device preferences; however, if you choose to disable cookies, some features of our Site may not operate properly and your online experience may be limited.

      We also use a tool called “Google Analytics” to collect information about your use of the Site. Google Analytics collects information such as how often users access the Site, what pages they visit when they do so, etc. We use the information we get from Google Analytics only to improve our Site and services. Google Analytics collects the IP address assigned to you on the date you visit sites, rather than your name or other identifying information. We do not combine the information collected through the use of Google Analytics with personally identifiable information. Google’s ability to use and share information collected by Google Analytics about your visits to this Site is restricted by the Google Analytics Terms of Use and the Google Privacy Policy.

      DATA BREACHES

      In the unlikely event of a data breach involving your information, AUTRA will immediately contain and assess the incident, and notify affected individuals and the Office of the Australian Information Commissioner (OAIC), where required by the Notifiable Data Breaches Scheme.

      Questions or Complaints

      If you have a privacy question, concern or wish to make a complaint about how your personal information is handled, please contact the Secretary at secretary@autra.asn.au. All privacy complaints will be investigated promptly, impartially, and confidentially. If you are not satisfied with the outcome, you have the right to escalate your concern to the OAIC.

      review and updates

      This policy is reviewed every two years or sooner if required by legal, regulatory or organisational changes, or in response to feedback or incidents. Policy updates will be published on this site and communicated to all members.
